Finca Manager, Catering Coordinator, or Wedding Planner in Majorca: Who Does What?

Sep 24
3 min read

When planning a destination wedding in Majorca, you will quickly encounter terms like Venue Manager, In-House Coordinator, or Catering Lead. Many couples fall into the deceptive belief that they already have an "all-inclusive wedding planner."

However, reality on the wedding day often tells a different story: a lack of upfront price transparency, inflexible recommendations, uncoordinated vendor schedules during hiccups, or confusion during getting-ready and ceremony logistics can cause unnecessary stress.

In this article, we transparently explain the fine yet crucial differences between each role—so you know exactly who you can entrust with which tasks on your big day.

1. The Venue / Finca Manager

The Finca Manager represents the property owner. Their primary job is to protect the estate and ensure smooth facility operations.

  • Main Focus: Key handover, enforcing house rules (noise curfews/music limits), overseeing estate infrastructure (electricity, water, restrooms), and general on-site logistics. The Finca Manager knows exactly which vendors are authorized on the property.

  • What is usually NOT covered: They do not create an overarching master timeline, do not direct your ceremony, do not look after the emotional well-being of your guests, and do not coordinate individual vendors on-site.

2. The Catering-Koordinator

First-class catering is the heart of every wedding dinner. The catering contact person ensures that everything runs seamlessly on the culinary side.

  • Main Focus: Smooth kitchen operations, food and beverage service, adhering to menu agreements, and setting up dining tables and tableware.

  • What is usually NOT covered: The caterer focuses purely on food and drinks. They do not coordinate the photographer, band, florist, or bridal hair & makeup.

  • Good to know: Last-minute timeline adjustments on the wedding day (e.g., speech delays or guest surprises) are difficult for catering teams to absorb due to strict kitchen schedules. Furthermore, the responsible Maître (Head of Service) often leaves after dinner service—leaving only a few bartenders and waiters for the open bar who do not take charge of overall management and focus solely on drink service.

3. Your Independent Wedding Planner (SR Events led by Sandra Resch)

As your wedding planner, we represent your interests 100%. Our sole goal is to execute your vision without compromise and completely stress-free.

  • Transparency & Contract Analysis: We thoroughly review proposals and contracts from all vendors for hidden costs, ambiguities, and strict clauses before you sign.

  • Tailored Vendor Selection: We source and inquire specifically with vendors who perfectly match your individual vision, aesthetic desires, and budget—ensuring your ideas are brought to life 1:1.

  • Set-up & Teardown Management: We coordinate the complete delivery, setup, and breakdown schedule for all involved vendors (florals, rentals, AV/lighting, catering) to ensure everything is ready on time without rush or penalties.

  • Full On-Day Direction: We manage the entire flow and energy of your event. From morning getting-ready to ceremony entry and seamlessly directing up to 20–30 vendors in the background, we handle problems before you even notice them.

  • Trusted On-Site Partner: Venues and caterers love working with us because we handle the time-consuming overall coordination. We know the noise regulations, power capacities, and logistical quirks of every finca inside out.
